We are seeking a highly organized and resourceful individual to join our team as the Personal Assistant to the CEO and HR Admin Executive. In this dynamic role, you will provide confidential and comprehensive support to both the CEO and the People Operations team, ensuring that the business operations run smoothly and efficiently. 

You will be a key point of contact, managing schedules, communications, travel arrangements, and a variety of administrative tasks. The ideal candidate will have excellent organizational and communication skills in working closely with various stakeholders across the organization. The ability to multitask and prioritize effectively is essential in managing administrative functions to ensure that operations is running smoothly across the organization.  

What’s the role?

Executive Support:

  • Manage the CEO’s schedule of appointments, meetings, including travel plans and itineraries. 
  • Prepare documents and presentations for meetings and conferences as needed.
  • Manage expense reports and other financial tasks for the CEO.
  • Handle confidential and sensitive information with professionalism and discretion.

HR Administrative Support:

  • Manage the office’s administrative functions, including the upkeep of office space; liaising with vendors whenever necessary; administering the software applications used by the team across all business units, and be the first point of contact in handling office enquiries. 
  • Screen and prioritize calls and emails, responding to inquiries and directing messages appropriately.
  • Taking notes or meeting minutes during meetings, whenever deemed necessary. 
  • Plan and organize office events, meetings and other functions as needed for senior management or employee engagement related matters. 
  • Organize and maintain private and confidential personnel files, records, and databases, ensuring all documents are up-to-date and secure. 
  • Prepare draft contracts and letters as required for the people operations team. 
  • Prepare reports, presentations, and correspondence as needed in support of organizing events.
  • Provide support in managing the functions of people operations, including recruitment, onboarding, performance management, compliance and offboarding. 
  • Conduct relevant research on employee engagement, compensation and benefits, government grants where applicable if deemed beneficial for the business. 
  • Develop and maintain relationships with key stakeholders, including candidates, employees, vendors, clients and other external parties. 
  • Assist with other tasks and projects as required by line managers and senior executives. 

Who are we looking for?

  • Bachelor’s degree in Business Administration, Office Administration, Human Resources or a related field preferred.
  • Minimum 3 years of experience in a similar role, with specific experience supporting executives a plus.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills, both written and verbal.
  • Proficient in Microsoft Office Suite and Google Suite (Word, Excel, PowerPoint, Outlook).
  • Tech savvy who is knowledgeable in latest trends and digital tools to help boost productivity. 
  • Ability to work independently and as part of a team.
  • Highly confidential and discreet.
  • Detail-oriented and proactive.
  • Experience working in a fast-paced environment.
